Corporate maintenance for law firms / Partner briefing

Lawyers practise law. RegistryIQ runs the rest.

Every corporation a firm represents needs the same work each year: resolutions, register updates and the filing itself. RegistryIQ schedules the work, then chases every piece until the file closes. A lawyer sees it only when something changed.

Deadlines

One missed reminder is one missed filing.

Most firms still track thousands of anniversaries on spreadsheets, calendars and email. RegistryIQ reads each corporation's jurisdiction and dates, then schedules every obligation by itself.

60 days
to file a federal (CBCA) annual return after each anniversary
6 months
to file an Ontario annual return after each anniversary
Every year
resolutions and register updates are due, whatever changed

Seven stages

One annual file, watched all the way through.

  1. PortfolioEvery corporation and obligation, scheduled.
  2. PrepareThis year's package, drafted from last year's minute book.
  3. Client reviewA five-minute guided check on their phone.
  4. Change detectionAnything new is summarized for the lawyer.
  5. SignE-signature, with reminders to each signer.
  6. FileThe annual return prepared and tracked.
  7. CloseMinute book updated. Client gets one tidy copy.

Change detection

Only real changes reach a lawyer.

If nothing changed, the file keeps moving by itself. If a client reports a new director, a share transfer or an ownership change, RegistryIQ writes a short summary and a suggested next step, then routes it to that file's lawyer.

Nothing is sent or filed without the lawyer's approval.

The assistants

Six assistants. The firm stays in charge.

Each one owns a part of the annual process and works under rules the firm sets.

  • A clerk approves before clients see anything.
  • A lawyer approves every legal change.
  • Every action is logged, with a record of who or what did it.

Registry Coordinator, Client Concierge, Compliance Assistant, Signature Manager, Filing Coordinator, Lawyer Escalation.

Partner

You know the firms. We build the system.

What you bring

  • Relationships with corporate law practices
  • Introductions to the partners who decide
  • A read on which practices should go first

What Dartix brings

  • Product design, plus the build and its hosting
  • Moving each firm's portfolio over from its spreadsheets
  • Setup for each firm's own stages, rules and reminders

For firms, the annual review also surfaces new legal work: shareholder agreements, estate freezes, reorganizations. Partner terms are a conversation, not a rate card.
